Privacy Policy: how we handle your personal data

This policy explains what personal data Uganda Wildlife Tours collects when you visit our website, send an enquiry or book a safari, why we need it, who we share it with and what choices you have.

Last updated: October 2026

The short version

  • We collect only what we need to answer your enquiry, plan your safari and book permits, lodges and transport.
  • We share it only with the parties who help deliver your trip, such as park authorities, lodges and our own drivers and guides.
  • We do not sell your personal data.
  • You can ask us to see, correct or delete your data at any time by emailing us.

3. Why we use your data

We use personal data to:

  • Reply to your enquiry and prepare a tailored itinerary and quote.
  • Deliver your safari: reserve gorilla and chimpanzee permits, park entry, accommodation, transport and activities.
  • Look after you on the trip, including safety, emergencies and any special requirements you tell us about.
  • Handle payments and records, including accounting and tax obligations.
  • Send you information you asked for, such as our newsletter. You can unsubscribe at any time.
  • Improve our website and services, for example by seeing which pages are useful and fixing technical problems.
  • Meet legal duties and protect our rights if there is a dispute.

Our reasons for doing this are to carry out the contract you ask us to enter into, to follow the law, to pursue our legitimate interests in running and improving our business, and, where the law requires it (for example for marketing emails or health information), your consent. You can withdraw consent at any time.

4. Who we share your data with

We share personal data only where it is needed to provide your safari or run our business, and only the data each party needs:

  • Government and park authorities, such as the Uganda Wildlife Authority and, for Rwanda trips, the Rwanda Development Board, to obtain permits and park entry in your name.
  • Lodges, hotels and activity providers that host or guide you.
  • Our drivers and guides, so they can look after you during your trip.
  • Service providers that run our website, email, messaging and payment processing, including WhatsApp (Meta), our web host and our email provider.
  • Professional advisers and authorities such as accountants, lawyers and regulators, when the law requires or a dispute arises.

We do not sell your personal data and we do not give it to third parties for their own marketing.

5. Data sent abroad

We are based in Uganda, but some of the services we use, such as email, WhatsApp and website hosting, store data on servers in other countries. Many travelers also live outside Uganda, and we may need to send permit and booking details to authorities in Rwanda. Where we send personal data abroad, we take reasonable steps to make sure it is handled with appropriate protection, as the Data Protection and Privacy Act, 2019 requires.

6. Cookies and tracking

Cookies are small files that a website saves on your device. Our website uses cookies that are needed for it to work, including the optional comment cookie that remembers your name and email if you choose to save them. Our site also loads fonts from Google Fonts, which means your browser connects to Google’s servers when a page loads.

We may also use website analytics to understand how visitors use the site. You can block or delete cookies in your browser settings, though some parts of the site may not work properly without them. External websites we link to, such as TripAdvisor, set their own cookies under their own policies.

7. How long we keep your data

We keep personal data only for as long as we need it for the purposes above. In general, enquiries that do not lead to a booking are kept for a limited period in case you come back to us. Booking records are kept for as long as needed to deliver your trip, handle any follow-up questions or complaints, and meet our accounting, tax and legal record-keeping duties. When data is no longer needed, we delete or anonymize it.

8. Keeping your data safe

We take reasonable technical and organizational steps to protect personal data against loss, misuse and unauthorized access, such as limiting access to our team and using reputable service providers. No method of sending data over the internet is completely secure, so we cannot guarantee absolute security. If we ever suffer a breach that puts your rights at risk, we will act as the law requires, including notifying you and the regulator where necessary.

9. Your rights

Under Uganda’s Data Protection and Privacy Act, 2019, and, if you are in the European Economic Area or the United Kingdom, under the laws that apply to you, you have the right to:

  • Ask whether we hold your personal data and receive a copy of it.
  • Ask us to correct data that is inaccurate or incomplete.
  • Ask us to delete your data, where we no longer need it or have no legal reason to keep it.
  • Object to, or ask us to restrict, certain uses of your data, including direct marketing.
  • Withdraw your consent at any time, where we rely on it.

To use any of these rights, email us at ugandawildlifetours12@gmail.com. We may need to confirm your identity first, and we will respond within the time the law allows. If you are unhappy with how we handle your data, please contact us first. You may also complain to Uganda’s Personal Data Protection Office, or to the data protection authority in your own country.

10. Children

Our website is meant for adults planning travel. We collect information about children (for example, names and ages for a family safari) only from a parent or guardian who is making the booking, and only as needed to arrange the trip.

11. Changes to this policy

We may update this policy from time to time, for example if we change how we collect data or the law changes. The date at the top shows when it was last updated. If we make a significant change, we will make that clear on this page.
